How to Compress Any File Into a Smaller ZIP
September 23, 20264 min readHow ZIP compression actually works, which file types shrink the most, and when zipping is useful even if the size barely changes.
Whether you’re emailing a batch of documents, backing up a folder, or just trying to get a handful of files under an attachment size limit, zipping them into a single archive is one of the most useful — and most underused — everyday file tricks. Here’s how it works and how to get the most out of it.
What a ZIP file actually does
A ZIP archive does two things at once: it bundles multiple files (and folders) into a single file, and it compresses their contents to take up less space using a lossless algorithm called DEFLATE — lossless meaning every byte comes back exactly as it went in when the archive is extracted. Because it’s a single file, it’s also just easier to send, upload, or store than a scattered pile of individual files.
How to zip files with Toolify
- Open the File Compressor and select or drop one or more files — any file type works.
- Click to zip — the tool bundles and compresses everything at maximum compression, right in your browser.
- Compare the before/after size, then download the resulting
.zipfile.
What compresses well — and what doesn’t
DEFLATE compression works by finding repeated patterns in data, so how much a ZIP shrinks your files depends entirely on what’s already in them:
- Compresses well: plain text, CSVs, spreadsheets, source code, uncompressed documents — anything with a lot of repetition and predictable patterns.
- Compresses poorly (or not at all): JPEGs, MP4 videos, MP3s, and already-zipped files. These formats are already compressed internally, so there’s little redundancy left for DEFLATE to squeeze out — don’t be surprised if a folder of photos barely shrinks.
Either way, bundling multiple files into one ZIP is still useful even when the size barely changes — it’s one download instead of ten, and file structure (folders, names) is preserved exactly.
Common uses
- Getting a batch of attachments under an email size limit.
- Bundling a project’s files before sending them to a collaborator or client.
- Creating a simple backup of a folder’s contents.
- Packaging multiple downloads from other tools into one file.
Why compress locally?
Many online “zip my files” tools upload everything to a server first. Toolify’s File Compressor builds the archive entirely in your browser using JavaScript, so your files never leave your device — useful for anything from personal photos to confidential client documents.
